The Brief

Amir contacted us on a Tuesday after his director had complained about smudge marks on the conference room glass during a Monday client meeting. The office had a regulatory inspection scheduled in three weeks, but more pressingly, a new investor was visiting on the following Tuesday morning. Amir wanted the office reset over the weekend so the staff would arrive to a fresh space Monday with no operational disruption.

SME offices in IOI Boulevard sit above retail tenants and below other offices, which means after-hours cleaning needs access-card coordination with building security. The window we agreed: 10pm Friday to 6am Saturday — eight hours, no staff present, building security briefed.

What We Found On Walkthrough

I (Daniel) ran the on-site walkthrough on Thursday afternoon during a quieter office moment. Findings broken out by zone:

• Open workspace: 12 desks with cable tangles underneath, coffee-cup ring stains on three desks, monitor screens with finger marks, accumulated dust on keyboards and behind monitors. Skirting boards along all four walls had a grey line of settled dust.
• Conference rooms (2): Both rooms had visible smudge layers on the glass partitions facing the corridor. The 12-seater boardroom table had water-ring stains. Ceiling fan blades in the larger room had a heavy grey dust load — visible from any seat at the table.
• Pantry: Espresso machine was scaled up; descaler hadn't been run in over six months. Microwave interior had splatter staining. The sink trap was emitting a low-grade smell. Two cabinet door fronts had a tacky film from a year of office-snack handling.
• Reception + corridor: The IKEA-style sofa in the reception area had visible body-oil shading on the headrest. Glass front door had palmprints on both sides. The corridor lino floor showed swirl marks from the maintenance team's rotary buffer using the wrong pad type.
• Toilets (2): Limescale dot pattern on both mirror surfaces. Toilet bowl rims under the seat-hinge bolts hadn't been cleared. Hand-dryer nozzles had black mould edges. One urinal in the gents had a yellow ring under the cap.

The Scope & Sequence

Eight hours, three cleaners, one supervisor. The choreography was built around three zones cleaned in parallel — open workspace by Cleaner A, conference rooms + corridor by Cleaner B, pantry + toilets by Cleaner C. I floated as supervisor, quality-checking each zone at the 4-hour mark and the 7-hour mark.

• 22:00–22:30: Access card briefing with building security, equipment unload, team walkthrough confirming scope per zone.
• 22:30–00:30 (Cleaner A — open workspace): All 12 desks cleared of personal items (placed in marked folders), surfaces wiped with anti-static solution, monitor screens cleaned with screen-safe cloth, keyboards air-dusted then wiped. Cable management retied at each desk.
• 22:30–01:00 (Cleaner B — conference + corridor): Both conference room glass partitions wiped both sides with streak-free cleaner. Tables polished. Ceiling fan blades wiped (12-seater room ladder required). Reception sofa upholstery vacuumed + spot-cleaned on the headrest. Corridor floor stripped with the correct pad type, then re-finished.
• 22:30–01:30 (Cleaner C — pantry + toilets): Espresso machine descaled (45-minute dwell with food-safe descaler). Microwave interior cleaned. Sink trap cleared with baking soda + vinegar flush. Toilet limescale, bowl rims and urinal cap-rust handled with descaler dwell + scrub.
• 01:30–02:00: Break.
• 02:00–04:00 (all hands): Mid-shift cross-check + floors. Vacuum across whole office, then mop with pH-neutral solution. Bins emptied + replaced with new liners. Air freshener spritz in pantry and toilet zones (subtle, not chemical).
• 04:00–05:00 (zone polish): Each cleaner returns to their zone for final detail pass — high-touch points (light switches, door handles, lift-button panels, intercom unit), water-ring stain follow-up on boardroom table, espresso-machine wipe + tray reset.
• 05:00–06:00 (supervisor walk + sign-off): Full walkthrough with photo log. Personal items returned to each desk in original arrangement. Final lock-up + key handover back to security.

What Got The Most Attention

Three items took disproportionate time and produced the visible quality lift Amir wanted:

Conference room glass partitions. The smudge layer was a year of palm-prints and forehead-leans that no quick wipe had ever properly cleared. Streak-free cleaner with a circular-then-vertical wipe pattern, both sides of every panel. Each conference room glass took 40 minutes. The result was a visible-from-the-corridor improvement that staff noticed within seconds Monday morning.

Espresso machine descaling. The descaler dwell ran 45 minutes — full cycle as specified by the manufacturer. Standing water in the boiler chamber gets neutralised, internal pipes flushed, then a clean-water rinse cycle. Done correctly, this restores espresso pressure and removes the bitter aftertaste the team had been blaming on bean quality. After the descale, two staff WhatsApped Amir on Monday afternoon to thank him for the coffee.

Corridor floor refinish. The maintenance team had used a wrong-pad rotary buffer for months, leaving permanent-looking swirl marks. The right approach: strip with a stripping pad, allow the floor to dry, then re-finish with two coats of a satin floor finish appropriate for the lino surface. The corridor went from "embarrassing for client walk-ins" to "looks like the day we moved in."

Handover & Customer Reaction

I sent Amir the photo log at 06:15 Saturday morning. He came in alone at 9am for a personal walk-through before staff arrived Monday. His WhatsApp at 10:02: "How did you fix the corridor? Three months I've been complaining about that floor."
